1. Who we are
AriaSDR ("AriaSDR", "we", "us" or "our") is operated by [Company legal name], [registered address]. AriaSDR provides an AI voice and avatar agent that businesses add to their websites to answer visitor questions, qualify leads and book meetings.
In this policy, "Customer" means a business that uses AriaSDR on its website, and "Visitor" means a person who talks with an AriaSDR agent on a Customer’s website.
2. Information we collect
Information you give us
- Demo and contact requests: your name, work email, company, website, industry and anything you write in the form.
- Customer account details: names, email addresses, billing details and the settings you choose for your agent.
- Business content: the knowledge, documents, prompts and branding Customers provide to train and style their agent.
- Messages you send us by email or through our website.
Conversations with an AriaSDR agent
When a Visitor talks with an agent on a Customer’s website, we process:
- Voice audio and the text transcript of the conversation.
- Details the Visitor chooses to share, such as name, email address, phone number, company and the reason for their enquiry.
- Meeting details, such as the time selected and the calendar invitation sent.
- Qualification answers the agent collects for the Customer.
Information collected automatically
- Device and browser information, IP address and approximate location.
- Pages viewed, referring pages, and the date and time of visits.
- Information from cookies and similar technologies (see "Cookies" below).
3. How we use information
- To provide the service: running conversations, answering questions, qualifying leads and booking meetings.
- To send messages related to a conversation, such as thank-you emails and meeting confirmation emails.
- To pass leads, transcripts and meeting details to the Customer whose website the conversation took place on.
- To respond to demo requests and enquiries, and to arrange and run demos.
- To maintain, secure, troubleshoot and improve our website and service.
- To send product updates or marketing where permitted by law. You can opt out at any time.
- To meet legal obligations and enforce our terms.
Where the law requires a legal basis, we rely on performing a contract, our legitimate interests in running and improving AriaSDR, your consent, or compliance with legal obligations, as applicable.
4. Conversations on our Customers’ websites
When an AriaSDR agent runs on a Customer’s website, the Customer decides why and how Visitor information is collected and used. In that case the Customer is the data controller and AriaSDR processes the information on the Customer’s behalf, under our agreement with them.
If you spoke with an agent on a business’s website and have questions about your information, please contact that business directly. We will support them in responding to your request.
5. AI and voice processing
AriaSDR uses speech recognition, speech synthesis and AI language models to understand questions and reply in real time. Visitors are talking with an AI agent, not a person, unless a conversation is handed over to the Customer’s team.
Conversation data is used to deliver the conversation and the follow-up the Visitor asked for, and to provide transcripts and lead details to the Customer. [Describe here whether conversation data is used to improve AriaSDR or train models, and how Customers can opt out.]
8. How long we keep information
We keep personal information only as long as needed for the purposes in this policy, or as long as a Customer’s settings and agreement require. Demo request details are kept while we are in contact with you and for a reasonable period afterwards. When information is no longer needed, we delete or anonymise it. [Add specific retention periods if you have them.]
9. Security
We use technical and organisational measures designed to protect personal information against loss, misuse and unauthorised access. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.
10. International transfers
Our service providers may process information in countries other than the one you live in. Where required, we use appropriate safeguards, such as standard contractual clauses, to protect information transferred internationally.
11. Your rights and choices
Depending on where you live, you may have the right to:
- Access the personal information we hold about you.
- Correct information that is inaccurate or incomplete.
- Delete your information.
- Object to or restrict certain processing, including direct marketing.
- Receive a copy of your information in a portable format.
- Withdraw consent where we rely on it.
- Complain to your local data protection authority.
To make a request, email us at the address below. We may need to verify your identity before responding. If your request is about a conversation on a Customer’s website, we may pass it to that Customer.
12. Children
AriaSDR is a business service and is not directed at children. We do not knowingly collect personal information from children under 16. If you believe a child has given us information, contact us and we will delete it.
13. Changes to this policy
We may update this policy from time to time. We will post the new version on this page and change the "Last updated" date. If changes are significant, we will give additional notice where appropriate.
